About the Role:

WSE/CMS is seeking a proactive, detail-driven professional to join our Inspection and Operations team as a Permit & Operations Coordinator. This is a full-time role ideal for someone with experience in permitting, dispatch, customer communication, or administrative coordination, especially within the construction, engineering, or municipal sectors.

This position plays a vital role in ensuring our projects move efficiently through the permitting and inspection process while supporting our internal teams and field technicians with daily dispatch coordination and customer service.

Key Responsibilities: Permit Processing & Inspection Coordination

Review, process, and issue permit applications and documentation for residential, commercial, and industrial projects
Coordinate inspection scheduling with internal teams, municipalities, and contractors
Maintain accurate digital records of all permit applications, revisions, approvals, and inspection outcomes
Communicate with clients and municipalities regarding submittal requirements and compliance timelines

Dispatch & Field Coordination

Schedule and dispatch field staff for inspections, meetings, and job-site visits
Monitor field schedules and adjust for real-time needs, emergencies, or priority changes
Optimize daily routes for efficiency and timeliness
Coordinate with engineers, inspectors, and external agencies to ensure alignment

Customer Service

Serve as the first point of contact for contractors, clients, and agencies inquiring about permits, inspections, and project status
Handle incoming calls, emails, and requests with professionalism and clarity
Provide status updates and guide applicants through permit and inspection processes
Resolve basic issues independently and escalate complex matters when necessary

Administrative Support

Manage permit tracking logs, inspection calendars, and internal workflow tools
Prepare correspondence, forms, and reports for internal and external use
Support interdepartmental coordination across engineering, inspections, and operations
Assist with internal process documentation and continuous improvement efforts

Qualifications:

2+ years of experience in permitting, dispatch, customer service, or office administration (preferably in construction, engineering, or municipal settings)
Strong attention to detail, time management, and follow-through
Excellent verbal and written communication skills
Ability to multitask and work in a fast-paced, deadline-driven environment
Proficiency in Microsoft Office (Outlook, Word, Excel); familiarity with permitting software or scheduling platforms is a plus
Understanding of building codes, municipal permit processes, or engineering workflows is a strong asset
Positive attitude and willingness to learn, adapt, and support multiple teams
