Job Summary
We are seeking a highly organized and proactive Finance Lead & Admin Assistant to join our team. The ideal candidate will provide essential support to ensure the smooth sales transactions . This role involves managing various administrative tasks, facilitating communication, and assisting with sales support.
OBJECTIVES:
Work with specific lenders to provide best and complete financing options to customers, as communicated with salesmen
Complete and process all purchase documents accurately and timely
Provide exceptional, friendly customer service at point of purchase
Perform various duties of administrative support as requested
Highest level of customer service and satisfaction
DUTIES:
· Submit proposed finance deals to lenders and monitor funding status
· Follow up on outstanding funding requests and pursue secondary options if necessary
· Review and process deal paperwork for accuracy, completeness, and compliance
· Assist with any titling, registrations, and payoff processing
· Communicate with Sales and management regarding deal status
· Maintain organized deal files and accurate, accessible records

· Ensure adherence to dealership policies and procedures
· Sell equipment insurance, extended warranties, and maintenance plans for purchased equipment
· Have working knowledge of DMV and MVDB requirements, to ensure specific deals meet those requirements
· Manage and provide accounting for review by store manager or other supervisors
· Follow federal, state, and local guidelines and regulations
· Organize and maintain equipment operator manuals, for quick access when needed
· Assist Sales team with customer engagement and events, as needed and instructed
· Settle work from previous day, to include balancing cash, credit cards, and journal entries
· Review and manage unit deposit report, and communicate with Sales team
· Work directly with vendor finance representatives and inventory auditors when needed
· Lead and administer customer satisfaction and follow-up surveys for store and Company
· Work at Stuarts Draft, VA location 8am-5pm (M-F) and routinely rotate 8am-12pm (Sat)
REQUIREMENTS:
· 1-3 years administrative experience (dealership preferred)
· 2+ years’ experience in auto or equipment financing (basic knowledge of auto/equipment finance) preferred
· High school diploma or equivalent
· Ability to use Company software, along with Microsoft Office and Google platforms, and internet
· Team player, communicates well, and ability to work under pressure and multi-task
· Strong customer and personal communication skills, with upbeat and positive demeanor
· Basic understanding of financial principles, accounting, and required reporting
· Exceptional attention to detail, keep office neat, clean, and organized
