Mechanical Hygiene Services (MHS) is a growing commercial HVAC duct cleaning company serving institutional and commercial clients across New England — including schools, universities, healthcare facilities, and municipal buildings. We're a small, focused team and we're looking for the right person to help us run a tighter operation as we grow.

This is a part-time, hybrid role (approximately 20 hours/week) based out of Pomfret, CT. As we grow into a dedicated office space, this role will transition to fully in-person.

What You'll Own:

Job closeout reports — preparing and distributing documentation after field work is complete
Scheduling support — creating projects in CompanyCam and managing Work Orders
Quote follow-up — tracking open proposals and following up professionally with prospective clients
Accounts receivable — monitoring outstanding invoices and sending payment reminders
Billing assistance — supporting invoice preparation, including for public-sector clients

What We're Looking For:

2+ years in an administrative, operations, or office coordinator role
Comfortable working in cloud-based tools (CompanyCam, QuickBooks, or similar)
Strong communicator — you'll be a direct point of contact for our clients
Organized, self-directed, and comfortable managing multiple open items at once
Background in construction, facilities, or field services is a strong plus

Compensation & Schedule:

$20–$24/hour depending on experience
Flexible scheduling — we work with you
8 days PTO per year plus paid holidays
Hybrid now, fully in-person once we move to a dedicated office

Pay: $20.00 - $23.00 per hour
