Muller's Woodfield Acura is seeking an experienced, organized, and high-energy Automotive Service Dispatcher to join our fast-paced service department. We are looking for a professional who can efficiently manage workflow, maximize technician productivity, maintain shop efficiency, and support a high level of customer satisfaction.
This is a critical operational role within the service department. The ideal candidate understands dealership service processes, technician skill matching, repair order flow, and the importance of getting vehicles fixed right the first time.
RESPONSIBILITIES:
- Schedule service appointments and coordinate with customers to confirm details
- Ensure accurate appointment and repair order information is entered into the dealership management system
- Dispatch repair orders to technicians based on skill level, experience, efficiency, and workload
- Communicate work orders, repair requests, and priority changes clearly and promptly
- Monitor the progress of vehicle repairs and service tasks throughout the day
- Adjust technician assignments as needed to maintain optimal workflow and productivity
- Coordinate workflow between service advisors, technicians, warranty administrators, and parts department
- Maintain consistent communication with service management regarding shop capacity, delays, and repair status
- Provide updates to service advisors regarding vehicle status and estimated completion times
- Collaborate with the parts department to ensure timely availability of required components
- Communicate parts status and delivery timing to technicians and advisors
- Monitor repair quality and completed service work to ensure dealership standards are met
- Maintain accurate technician dispatch records and monitor technician time management and proper book times
- Handle emergency repair situations and unexpected service requests by adjusting schedules and allocating resources efficiently
- Facilitate communication between departments to improve overall service department performance
- Support customer satisfaction by ensuring repairs are dispatched to properly skilled technicians and completed correctly the first time
- Help maintain a clean, organized, process-driven, and productive service operation
QUALIFICATIONS:
- Previous automotive dealership dispatcher experience preferred
- Strong understanding of dealership service operations and workflow management
- DealerTrack and MyKaarma experience preferred
- Strong organizational and multitasking skills
- Excellent communication and interpersonal abilities
- Ability to perform under pressure in a fast-paced dealership environment
- Professional appearance and strong work ethic
- Acura or Honda experience is a plus, but not required
- Team-oriented attitude with strong leadership presence
EDUCATIONAL REQUIREMENTS:
- High school diploma or equivalent required
WORKING CONDITIONS:
- Primarily station-based within the dealership service department
- Flexible schedule including occasional evenings and weekends as needed
