ABOUT THE ROLE
The Service and Inside Sales Coordinator is responsible for serving as a key point of initial contact for both prospective and existing customers. This role supports the sales and service teams by responding to inbound inquiries, coordinating customer appointments, and managing service requests. The position plays a critical role in ensuring a smooth and positive customer journey—from the initial inquiry through ongoing system support. The Service and Inside Sales Coordinator helps ensure that leads are properly qualified and routed, service issues are addressed promptly, and customers receive timely communication and support.
This role is primarily remote with occasional need for in-office meetings or community events. Part-time business hours with flexibility to respond to urgent customer inquiries.
RESPONSIBILITIES AND DUTIES
Customer Communication and Lead Management
- Direct inbound leads to our sales team from website inquiries, referrals, marketing campaigns, phone calls, and email within established response time standards
- Maintain accurate customer and lead records within the company CRM system
- Collaborate with the marketing and sales team to improve lead response and conversion
- Support occasional community events or outreach initiatives with the sales and marketing teams
Service Coordination & Customer Support
- Serve as the primary point of contact for customers requiring service, troubleshooting, or warranty support
- Receive, triage, and prioritize incoming service requests
- Create and manage service needs within CRM (HubSpot) and Google Suite ecosystems
- Coordinate and schedule service appointments with customers
- Communicate service details and expectations clearly to customers
Operational Support & Reporting
- Maintain detailed records of customer interactions, service activity, and follow-up communications across CRM and Google Suite
- Follow up after service appointments to ensure customer satisfaction and request online reviews
- Track service metrics such as response time, resolution time, and repeat service requests
- Identify recurring issues and escalate systemic problems to leadership
- Attend occasional in-person company meetings in the Hudson Valley or Capital District
CANDIDATE REQUIREMENTS
- 3+ years of experience in operations support (solar, electrical, HVAC, or home services preferred), technical service coordination, or inside sales
- Experience with CRM systems and customer data management
- Solar industry experience or familiarity with PV/ESS systems is a plus
- Strong organizational and scheduling skills
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and tasks simultaneously
