ESSENTIAL DUTIES
Essential Duties include the following. Other duties may be assigned.
- Advises Sales Managers about necessary service for stock vehicles.

Helps identify a mechanical problem by doing a visual inspection or road test.

Confers with Sales Managers about inspection results, recommend corrective procedures, and prepare work order for needed repairs.

Prepares a repair order showing time, cost and labor estimates for service.

Writes a brief description of the Sales Manager’s concerns or requests on the repair order to help the technician locate the problem.

Provides explanation of recommended work to be performed and the repair order estimates to the Sales Department.

Explains the work performed and the repair order charges to the Sales Department.

Composes Repair orders for used vehicle inspection, certification and reconditioning.

Coordinates with vendors for sublet work to be performed

Assist Service Advisor’s with duties when the service drive is full and all advisors are busy or absent.
- Schedules service appointments and sales due bill appointments. Obtains customer and vehicle data prior to arrival when possible.

Coordinates client transportation needs- Loan car, rideshare service, valet, etc.

Greets customers in a timely, friendly manner and obtains vehicle information.

Test drives the vehicle with customer as needed to confirm the problem or refer to test technician.

Refers to service history, inspects vehicle, and recommends additional needed service.

Advises customers on the care of their cars and the value of maintaining their vehicles in accordance with manufacturers' specifications.

Provides a complete and accurate written cost estimate for labor and parts to customers or parties involved.

Establishes “promised time.” Checks with Service Manager, Foreman, and parts dept., if necessary.

Obtains customer's signature on repair order, provides customer with a copy.

Establishes customer's method of payment. Obtains credit approval, if necessary.

Notifies managers and foreman of incoming work.

Checks on progress of repair throughout the day. Contacts customers and Sales Managers regarding any changes in the estimate or promised time, explains cost and time requirements in detail, and gets proper authorization before any additional repairs are performed.

Reviews repair orders to ensure that work is completed and additional work and authorization is noted.
- Closes repair order as appropriate.

Ensures that vehicles are parked in assigned areas.
- Makes sure vehicles are locked and all keys are marked and put away correctly.

Maintains high customer satisfaction standards.

Handles telephone inquiries regarding appointments and work in process.

Works as liaison between estimate for body work.

Continues in training and education for role and brand specific certification requirements

Maintains a professional appearance.

Keeps work area clean.
EDUCATION and/or EXPERIENCE
-
No prior experience or training is required, but experience working at an automotive dealership in a similar position is preferred.
TECHNOLOGICAL APTITUDE
-
General computer, email, and word processing skills.
-
Ability to become quickly proficient in using various software and web-based systems, especially the Dealership’s Management System.

Ability to become quickly proficient using the dealership’s telephone system.
LANGUAGE & COMMUNICATION SKILLS

Ability to communicate courteously, professionally, and effectively over the telephone and in person.

Ability to write simple but professional correspondence.

Ability to respond to common inquiries or complaints from customers.

Ability to retain and communicate general service department information.

Ability to read, analyze, and interpret documents such as customer and internal email/electronic correspondence, repair orders, company memos, sales paperwork, safety rules, and training material.
MATHEMATICAL SKILLS

Ability to count, add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
