POSITION
The Equipment Service Advisor is responsible for managing and maintaining a fleet of rental equipment. This role ensures equipment is properly serviced, repairs are completed efficiently, and records are accurately documented. The coordinator works closely with customers, vendors, and internal teams to support smooth operations and maintain visibility across departments.
ESSENTIAL DUTIES
- Provide remote troubleshooting support using Hitachi diagnostic software
- Partner with customers to diagnose and resolve technical issues in a timely manner
- Follow established processes and procedures to ensure efficient daily operations.
- Prioritize and coordinate equipment maintenance, repairs, service calls, and parts orders to ensure timely resolution and minimize downtime, sourcing materials and vendors that meet OEM standards
- Utilize ERP to create, update, and close work orders, ensuring accurate equipment status and visibility across departments
- Communicate regularly with customers and internal teams regarding repairs and machine status
- Issue and receive purchase orders in ERP, ensuring accuracy for efficient processing
- Process service department payables by entering required information, verifying third-party repairs, and resolving invoice discrepancies in a timely manner with vendors to ensure prompt payment
- Maintain accurate equipment inspection records and ensure compliance with documentation standards
- Review inspection reports, identify equipment damage, and follow company procedures for customer notification and invoicing.
- Manage parts inventory, including counting, data entry, and resolving discrepancies
- Perform data entry and provide intermediate-level clerical and administrative support for the service department
- Use reports to track performance, improve workflow, and meet key KPIs
- Collaborate with other departments to complete assigned tasks

- This position operates in professional office environments, requiring the uses of standard office equipment, the ability to communicate verbally with others on site, in person and over the telephone, ability to read printed materials, signs, computer screens and directions, stamina to maintain attention to details despite interruptions, ability to lift, push, pull, carry, handle or feel objects, supplies, tools, machinery and/or controls weighing up to 50 pounds and reach with hands and arms; climb stairs and/or ladders; balance, bend, stoop, kneel, crouch, crawl, lift overhead, traverse around or otherwise position one's self around the required work and safety requirements to navigating and perform activities on various construction sites in a safe manner.
- While working, the employee might be exposed to various uneven surfaces, loud noises, moving vehicles or machines, and dust/debris.
EXPECTED POSITION HOURS
- This is a full-time position. Occasional overtime may be required as job duties demand with prior approval.
MINIMUM REQUIREMENTS
Education and Work Experience
- A high school diploma or GED is required.
- Two (2) to five (5) years experience troubleshooting and repairing excavators or wheel loaders as a technican
- Three (3) to five (5) years of administrative and clerical experience required; or a mix of education and on-the-job training may be a substitute for years of experience.
- General knowledge of construction equipment or rental industry preferred
Required Skills and Abilities
- Ability to troubleshoot excavators and wheel loaders via phone and email
- Expert knowledge of hydraulics, electrical, engines and powertrain
- Excellent interpersonal and customer service skills.
- Highly organized and self-motivated, requiring minimal supervision.
- Proficient with Microsoft Office Suite, RentalMan, or related software.
- Requires the ability to use and manage multiple online computer applications/systems with technical proficiency
- Ability to respond quickly to changes
- Team player with strong interpersonal skills
- Self-motivated, requiring minimal supervision
Certifications, Licenses, and other Requirements
- Ability to pass pre-employment drug screen and background check.
